What is ShareAspace Export Control?
ShareAspace for Export Control enables the sharing of information subject to export control regulations, such as ITAR, in global value chains. It encourages best practice in the management of export control data and maintains the records that export control authorities require.
Does ShareAspace Export Control require the installation of any client software?
No. The application is web based and accessible from all standard web browsers.
Can you login via SSO (Single Sign-On) on ShareAspace Export Control?
Yes, you can log in via SSO on ShareAspace Export Control.
Is ShareAspace Export Control available as a hosted services?
The product is not currently offered as a hosted service, however the product can be deployed either on premise or on Azure.
Does ShareAspace Export Control only support ITAR export control?
ShareAspace Export Control is generic and can support most export control regulations.
Does ShareAspace Export Control support sharing of other licensed information?
ShareAspace Export Control is applicable to the management of any business that requires the sharing of data subject to a licence. For example, manufacturing goods subject to a licence.
Can ShareAspace Export Control be integrated with a PLM system?
Yes. There are several ways in which the product can be integrated with a PLM system.
- Data subject to export control that is to be shared can be exported from the PLM system to ShareAspace Export Control where it can be shared subject to the relevant export control licence.
- Alternatively, the files that are subject to export control can be stored in ShareAspace Export Control and be linked to from the PLM system. Hence, access to sensitive files is managed by ShareAspace.
How do you get data into the system?
Ease of integration is one of the key features of ShareAspace. Information is transferred in and out from ShareAspace through file-based exchange or web services. ShareAspace accepts almost any type of information and will manage it according to information standards such as STEP and PLCS. This means you can import legacy formats like CSV, XML, etc. into ShareAspace and then export it according to international standards.
For convenience, data can be loaded from simple EXCEL spreadsheets.
Does ShareAspace Export Control track the transportation of physical goods subject to export controls?
No. The product focuses on managing the technical information associated with physical items that are subject to export control. E.g. design specifications, technical manuals, drawings.
What type of information can be managed?
The initial focus is on managing the export of documents with associated files such as PDFs, Word, Excel files and parts with associated CAD files. However, given that the product is based on ShareAspace, future releases may provide explicit support for other types of information explicitly managed by ShareAspace such as maintenance tasks and requirements.
Can you control access to properties and characteristics of parts?
Yes. A part definition may detail properties of the part that are sensitive and subject to export controls, such as the material and performance characteristics. Such characteristics can be identified and access to them controlled.
What file formats are supported?
Any file format is supported, including video.
Export control licences often stipulate the geographical locations from where a user can access data. How do you control where the user can access data from?
ShareAspace Export Control does not track and identify a users location. Instead, the user must state where they are at, and if they say they are in the correct location (as stated on the licence), the system will allow the user to download the file. Note that all system actions are logged so the fact that the user stated that they were in a given location when they accessed the data is recorded.
Reporting & auditing
What type of auditing does ShareAspace Export Control support?
All user actions are logged by the system. This includes recording when a user logs in, what file they viewed, downloaded or deleted. The system also logs what information was shared with whom and when. These logs are provided as reports, either as JSON or Excel. Hence administrators can readily provide reports to the relevant authorities including reports on:
- The data that has been shared or unshared – On what date, by whom, with whom, under what licence.
- The files – Under what licence, have been downloaded or deleted on what date, by whom.
- The licences that are managed – Whether they have been shared or unshared – On what date, by whom, with whom.
- The users that had access to the licensed data and the user’s nationalities, security clearances and employment history.
Does ShareAspace Export Control control access based on a person’s nationality?
Yes. A person’s nationality, security clearance history, employment history can all be recorded and used to control access to the information.
Do system administrators have access to the information subject to export control?
No. System administrators do have access to the information managed by ShareAspace. Only users explicitly identified have access to controlled information.
